Writing an inquiry

What to include in a first email.

The problem

What is not working today, who it affects, and how the task is handled at the moment.

The systems involved

Any existing software, databases, spreadsheets or third-party services that the work would touch.

The outcome you want

What should be different once the work is done, described in terms of everyday use rather than technology.

Constraints

Deadlines, regulatory requirements, internal technical standards, or a budget range if one has been set.

Who is involved

Which people or teams would use the system and who can make decisions about it.

Material to share

Documentation, screenshots, exports or repository access that would help explain the current situation.

A message does not need to contain all of this. Even a short description of the problem is enough to begin, and anything missing can be covered in the exchange that follows.
